Taxonomy

Taxonomy - in essence is an agreed way to treat metadata - data about data.

In Brandkit we make managing a custom Taxonomy as simple as possible and in line with a no-folder, non-hierarchical approach - we use a simple to understand Approved Tags concept to control how metadata is applied to Assets.

Approved Tags

Brandkit enables User Roles to be setup with the Ability to:

  • Manage Tags (Create new Approved Tags), and 
  • Asset Tag (apply previously approved Tags)

Creating Approved Tags

Account Admins (with the Manage Tags ability) can Manage Approved Tags.

In Admin and provided you have the Manage Tags ability.

  1. In the main Admin navigation menu, click Settings > Tags. This will display the current Approved Tags (Your taxonomy), the method use to add it (via AI Bot or Human keyboard entry), whether the tag is a Primary tag, or Blacklisted, and links to Merge, Edit or Delete the Tag.
  2. Click the + Add New button top right to add a new Tag. You can also create Tags on the fly as you Tag Assets.
  3. Type a single Tag name, then click the Create Tag button.

Once a Tag is created as above, other User Roles with the Asset Tag ability can then use those tags to apply to Assets.

Without the Manage Tags ability it’s not possible to create new tags. The exception to this rule is that new Tags can be automatically created by AI Auto Tagging and by Bulk metadata import via csv. Note that only Admins have the ability to Import metadata (an advanced feature that requires additional training).

When uploading Assets and with Auto-tagging enabled, new Tags will be created and applied to the Assets via our Image Recognition AI (supplied by Amazon’s AWS Image Rekognition AI service) automatically.

These Tags will be automatically Approved, but can be Deleted or Blacklisted (preventing them from being added in the future).

Contact Brandkit Support if you have Tags you wish to blacklist or you get stuck.

Primary Tags

Another way to enhance your Taxonomy is with Primary Tags.You can also setup certain Approved Tags to be Primary. The purpose of this is to ensure Assets have at least one of your Primary tags.

Typically this is used to create a basic hierarchy of say Categories or Sectors.

You might for example setup a number of Tags as Sector Tags so that all Assets are organised into at least one sector, as NZTE has done in the example above. Then set those Tags as Primary Tags.

We then show in your Admin interface an Incomplete status for Assets that don’t yet have at least one Primary tag.

Incomplete status doesn’t prevent the Asset from appearing in the Portal, nor does that status ever show up for Portal Users. We just flag the Asset as Incomplete, and show the Asset in the Incomplete Assets grid, for Admins only, in the Admin interface (as seen above). 

Once the Asset is tagged with at least one of the Primary Tags (in this example a Sector tag such as “Sector:Advertising”) the Incomplete status will be removed.

Using Filters to Create a Tagging taxonomy, and then prompt Admins to apply it.

Brandkit features customisable Filters used for search, and these are shown in both Brand Portal and in Admin interfaces.

Filters both aid search and help train users on how to refine their searches (as seen in the Screenshots above). They also act as a tagging prompt for Admins, and help Admins ensure that the agreed “taxonomy”, is applied.Filters therefore act as the primary method of encouraging/enforcing  the application of a Taxonomy.

We don’t actually force Admins to select a Filter option when tagging, but it is certainly encouraged, and Primary Tags can be used to check the application of important Tags.To set these up first think about your content and how users are likely to search for content.

You could for example divide up your content by Theme, Category, Department, Location, Season, Audience etc. And because we’re talking about Tags rather than Folders, all these can coexist, as an Asset can be in many places at once.This is an internal process, every organisation is different, so think about your content in your own context (as described in this article.Next, write down a list of filters and all their possible values.e.g. Season: Summer, Autumn, Winter, Spring

Note that the Filter Name (e.g. Season) is a heading for the dropdown menu, and Filter Values (e.g. Spring) are the items in the filter drop-down, but are also Tags. When a filter value is selected, the value is added as a Tag to the search box.You’ll need to supply these to Brandkit as part of your onboarding and setup process.

Brandkit will set these up for you so they appear in your account as Search Filters and as Tagging Prompts (the two work in unison) .Once in place, you’ll see these options appear when you are tagging Assets.

It’s then as simple as selecting an option for each Filter, to ensure that Admins apply the pre-determined Taxonomy.

*Pro Tip: If you’re also setting up Albums for your home page, it’s a good idea to align the Albums with the values of your most important Filter (e.g. Themes), so that they are identical searches. Albums use Tags just like Filter values to deliver a search result.*
